Ordering FAQs

How do I place a quick order?

Please upload your audio file here to receive a full quote within one hour. Upon receipt, we will assess the audio and send you full breakdown of rates and dates within one working hour.

Is there a password protected file manager?

Yes. Please contact support to request the registration form. You can access the client file manager here after registration.

Can I upload from a mobile device?

Yes. However the browser upload page is not responsive so this would depend on the size and functionality of your device. An iphone app is available to sync files with our web server. Setup is required. Please email support@uktranscription.com for advice.

What file formats do you accept?

We can accept audio recordings in MP3, WMA, MP4, DSS, WMV, AIF, M4A, MOV, AVI, AMR and WAV. We do not currently accept video files or physical media through the post. If you have large files please contact us for advice and access to our client area.

How are transcripts delivered?

By default, transcripts are emailed to your registered billing address via unencrypted email attachment in Word .docx format. Transcripts are fully editable. If you would prefer to download transcripts from your password protected client area, please state this preference prior to placing your order.

Pricing FAQs

How much does the standard service cost?

Every order is assessed individually, as audio quality varies so greatly. Rates for standard 1-1 interview transcription vary between £1.05 and £2.00 a minute, depending on deadline and audio quality. Please upload audio for a full quote via the link above.

Do you offer refunds?

Refunds are not generally available where work has already begun on the transcript. Where audio is good quality and clear, we may offer a partial discount for transcripts that achieve lower than 99% accuracy. This is very rare however. Refunds are not available for audio that is not clear due to the difficulties in predicting accuracy levels with such files.

Do you offer bulk discounts for high volume?

Unfortunately not. Our overheads do not vary with volume, and we rarely have surplus capacity.

Can I buy advance credit ?

Yes. Advance credit never expires. Please send us an email to request an invoice. Then simply quote your invoice number when ordering and we will adjust your balance automatically. Unused credit paid by bank transfer can be refunded at any time without penalty. Advance credit purchased by card is subject to a 4% admin fee.

Why do you price each file individually?

Audio quality can vary enormously, and so to maintain quality we individually assess each audio file in order that we can deliver a consistently high service.

Can I receive an invoice?

We can invoice eligible customers on 30 day payment terms. If you are a private customer we may request advance payment. To confirm if you are eligible please email support@uktranscription.com.

What additional charges are possible?

Factors that may affect rates include audio quality, number of speakers, noise, timecodes and custom formatting. Each and every batch is individually assessed so rates may vary between orders. Please so the rates page for more info.

Can you sign an NDA agreement?

Yes. We have a range of existing templates available. Client-supplied NDAs client are welcome, subject to approval. Please see our terms page for more info and our full terms and conditions.

Transcription FAQs

What quality assurance procedures are in place?

As standard, each and every transcript is spot checked by a dedicated, full-time proof reader, whose sole responsibility is to ensure all transcripts are of a consistent quality. Ambiguous passages are flagged and examined by at least two people. Additional QA measures are available as required. Any required revisions are completed at no extra cost.

What help is available to disabled students?

If you are dyslexic or suffer from a different kind of disability, and are currently a full time, part time or post graduate student in higher education, then you may be eligible to receive a disabled student allowance, a government grant to cover the extra costs which result from studying with a disability. You may be able to claim the cost of transcription. For more information, visit the Government Direct site, which has info on available help for disabled students. The extra funds may be used to purchase computing equipment and digital dictation devices, and in some cases can also be used to acquire transcription services. UKT has unique experience of working with students in receipt of DSA, and can also assist and advise you in preparing for and applying for DSA benefits.

Can you transcribe multi-speaker files?

Our standard base rates includes speaker tracking for up to three speakers fully tracked. Subsequent speakers are named generically as 'Male' or 'Female' unless you order a fully tracked transcript at extra cost. Please contact us for a quote.

What security measures are in place?

This site is 128bit SSL secured, and all file transfers are encrypted. We are registered with the Data Protection Act, Z2424167. Only key staff have copy access to data, and all staff are subject to a legally binding NDA, with particularly sensitive material being restricted to senior staff only.

Do you offer timestamps?

Timestamps are available at a cost of 10p per timestamp, per minute. Meaning that timestamps twice a minute would add 20p to the minute rate.

Do you offer court certified or legal transcription?

We are not a specialist legal transcription service. Are transcripts are not certified for legal or court use, and we discourage users from using our services for legal purposes. We are not authorised by the Ministry of Justice to transcribe High Court and County Court hearings in England and Wales.

Do you offer medical transcription?

We are not a specialist medical transcription service. We do complete work on behalf of the NHS and similar, but this tends to be more research based material, not dictations or diagnostic material. We are not HIPAA compliant or certified for medical transcription.

In what format will I receive the completed transcription?

All transcripts are delivered as Microsoft Word docx documents which are fully editable, and can be converted to other formats easily.

Do you edit out filler words (i.e. umm, uhh)?

Our standard template uses a clean verbatim which edits out some stutters and filler words. If you require a strict verbatim template, we would be happy to quote if you can submit audio for assessment. Please see the Template Options page for more info.

Where are your transcriptionists located?

All of our transcribers are UK based and have the right to work in the UK. Some of our transcribers work from home, a significant portion of which, have completed a training period in our Brighton or Edinburgh office.
